Meeting Chair Guide
This guide is for anyone who chairs a board meeting, committee meeting, or working group in Our Cat Herder. It covers how to use the portal at every stage of the meeting cycle.
The guide is structured around four phases:
- Before the Meeting — Prepare yourself and check that everything is ready
- During the Meeting — Follow the agenda, reference documents, and track actions
- After the Meeting — Sign off minutes and follow up on actions
- Between Meetings — Stay across actions, discussions, and governance matters
Chair Role vs Meeting Chairperson
Your portal Admin assigns roles (such as Chair) in the Members area, but being set as the chairperson on a meeting is what gives you chair-level access to that specific meeting. If you are chairing a meeting but do not see the options described in this guide, ask your Admin to check the chairperson field on the meeting via Manage > Edit Details.
What Can a Meeting Chairperson Do?
As the chairperson of a meeting, you can:
- View all meeting papers, attachments, and the meeting pack
- See attendee RSVP status
- Edit meeting details (date, time, location, description)
- Manage attendees (invite, remove, change roles)
- Review and sign off minutes
- Create meeting papers
- Access the meeting discussion to communicate with attendees
