Notifying Members About Meeting Papers

Our Cat Herder does not send automatic notifications when meeting papers are uploaded or changed. This is by design — it prevents members from being overwhelmed with notifications every time a change is made to meeting documents. To notify attendees about new or updated agendas, attachments, or other meeting papers, use the Discussion tab within the meeting to post a comment. This sends a notification to all attendees.

Invites

When attendees are added to a meeting, they receive an email invite with a calendar (.ics) file attached, which they can use to add the event to Outlook, Gmail, or any other calendar app. The invite includes the meeting title, date, time, location, and description.

Subsequent edits to the meeting details send an updated .ics file so the invitee's calendar entry stays in sync.

Invitees are organised into three groups:

  • Minute Takers — can take minutes and modify parts of the meeting
  • Attendees — regular meeting participants
  • Viewers — can view meeting documents but are not attending

RSVPs

Invitees can RSVP by clicking the link in the email invite or by opening the meeting in Our Cat Herder and clicking the RSVP button. They can choose Accept or Apology, and can update their response any time before the meeting.

Avoiding Repeat Invite Emails

If you re-open Meeting Details and click Save without changes, the system still sends a fresh invite email to attendees (because any change to meeting details is treated as something invitees should know about). To save without notifying anyone, tick the "Do not email invite(s)" checkbox before saving. See Multiple Meeting Notifications for more.

Adding Breaks or Non-Numbered Items to Agendas

You can add non-numbered agenda items such as Lunch or a break by ticking "Skip Numeration" when editing an agenda item. This is useful for inserting breaks or informational items that should not be numbered in the agenda.
