Bulk Extract
The Bulk Extract tool allows Admin users to export all data from your Our Cat Herder portal in one go.
When to Use Bulk Extract
Common uses for Bulk Extract include:
- Regulatory reporting — e.g. providing records to ACNC or other regulatory bodies
- Annual backup — creating a local copy of all your portal data as a safeguard
- Migration — extracting your data if you need to move it to another system
- Archival — keeping a physical or local copy in line with your organisation's data retention policies
TIP
We recommend performing a Bulk Extract at least once a year as a backup. While Our Cat Herder takes care of your data security and storage, having your own copy is always good practice.
How to Use Bulk Extract
- Navigate to Settings from the left-hand menu
- Click Bulk Extract from the row of options
- Click Export
The system will generate a background job to compile your data. Once ready, you will receive an email with download links.
What's Included
Bulk Extract downloads all portal data, including:

Files that were uploaded in a specific format (e.g. Word, Excel) are exported in their original format. Documents generated by Our Cat Herder (agendas, minutes, decisions, etc.) are exported as PDFs.
Who Can Access Bulk Extract
Only members with the Admin role can access the Bulk Extract tool.
Granular Exports
If you don't need everything and want a more targeted export, you can also export specific data from various areas of the portal:
- Actions — export filtered action lists as PDF or CSV from the Actions page
- Reports — generate and export specific reports (e.g. Member Meeting Attendance) from the Reports page
- Members — export your member list as CSV from the Members page
- Individual meetings — download meeting packs, agendas, or minutes from within each meeting
