How to Distribute Your Agenda Through Our Cat Herder

Once you have built your agenda and uploaded your meeting papers, you need to let your attendees know that everything is ready. Our Cat Herder does not send automatic notifications when meeting papers are uploaded or changed — this is by design, so members are not overwhelmed with notifications every time a document is updated during preparation.

Instead, you notify attendees using the Discussion tab on the meeting. Posting a comment there sends a notification to all meeting attendees.

Steps

  1. Open the meeting from the Meetings page.
  2. Make sure your agenda is complete and all attachments have been uploaded.
  3. Click the Discussion tab on the meeting.
  4. Post a comment letting attendees know the agenda and papers are ready — for example: "The agenda and meeting papers for the upcoming meeting are now available for review."
  5. Click Send.

All meeting attendees will receive a notification with your message. The notification does not include the meeting pack PDF or any documents — attendees must log in to Our Cat Herder to view the agenda, attachments, and meeting pack. This is intentional, as email is not a secure medium for distributing board papers. By requiring members to log in, your documents remain protected within the portal.

Updating Papers After Distribution

If you update meeting papers after your initial notification, post another comment on the Discussion tab to let attendees know what has changed. Each comment sends a new notification to all attendees.

Why It Works This Way

Board papers often go through several rounds of editing before they are finalised. If notifications were sent automatically every time a document was uploaded or changed, attendees could receive dozens of notifications before the papers are actually ready. The Discussion tab gives you full control over when your members are notified.
