My Members Can't See Decisions

If your board or committee members can't see a decision (circular resolution or flying minute) in the portal, they most likely haven't been invited to it as a voter or viewer.

Why This Happens

Our Cat Herder uses an invite-based model for decisions. A member can only see a decision if they've been added to it as either a voter or a viewer. This applies to all roles — even Admins won't see a decision in their list unless they've been invited to it.

  • Voters can view the decision details, attachments, and cast a vote
  • Viewers can see the decision details and attachments but cannot vote
  • A member can be a voter or a viewer, not both
  • Members who haven't been invited to a decision won't see it at all

Why Does It Work This Way?

Decisions often contain sensitive or confidential proposals. The invite model means you control exactly who sees each decision. For example, you might have a staffing decision that only certain board members should vote on, or a financial proposal that specific office holders need to review.

Common Scenarios

A member can't find a decision

If a member has logged in and navigated to Decisions but can't see a specific proposal, they haven't been added as a voter or viewer.

Fix: Edit the decision and add the member as either a voter or viewer.

A member can see a decision but can't vote

The member has been added as a viewer, not a voter. Viewers can read the proposal and attachments but won't see a Vote button.

Fix: Edit the decision's voter list and change the member from a viewer to a voter. Note that you can only do this if you are the decision creator or an Admin.

A member's Vote button has disappeared

The Vote by date has passed. Once the vote by date passes, voting is locked and can no longer be accessed.

Fix: If voting still needs to happen, use the Extend Vote by Date option to push the deadline out. Only the decision creator and Admins can do this.

A member voted incorrectly and wants to change their vote

Votes can't be changed once cast. However, the decision creator or an Admin can remove the voter and re-invite them, which lets them vote again. This only works while voting is still open.

Fix: Edit the decision, remove the voter, then re-add them.

Members want a record of the decision but can't access the portal

The decision can be exported as a PDF. If members need a copy outside the portal, download the PDF and save it to the Documents area where you can control who has access via folder permissions.

How to Fix It

Add a Member to a Decision

  1. Navigate to Decisions from the left-hand menu
  2. Click on the decision you want to update
  3. Click Edit (available to the decision creator and Admins only)
  4. Add the member as a Voter or Viewer
  5. Save the decision — the member will receive a notification

Note: a decision can only be fully edited before the first vote is cast. After that, you can still add or remove voters and viewers, but you can't change the proposal itself.

Save a Decision PDF to Documents

If you need to share the outcome of a decision more broadly:

  1. Open the decision and click View as PDF
  2. Download the PDF
  3. Upload it to the Documents area
  4. Set folder permissions so the right people have access

Quick Checklist

  • Check the invite list — Open the decision and check who has been added as a voter or viewer.
  • Check voter vs viewer — If the member can see the decision but can't vote, they're a viewer. Change them to a voter if needed.
  • Check the vote by date — If voting has closed, use Extend Vote by Date to reopen it.
  • Check who can edit — Only the decision creator and Admins can edit a decision or manage its voter/viewer list.
